In the course of operating the Datasphir Student Outreach Initiative and Buildathon program, we collect the following information:

  • Registration Data: Name, email address, phone number, university affiliation, student identification, team information (team name, team members, roles), LinkedIn and GitHub profiles (optional), and proof of student identity.
  • Project Data: GitLab repository links, staging deployment URLs, project documentation, demo videos, presentation materials, and task tracking information.
  • Program Participation Data: Mentor assignments, check-in records, feedback, evaluation scores, and participation in workshops and events.
  • Event Media: Photographs and videos captured during orientation sessions, workshops, mentor check-ins, and Demo Day presentations.
  • Usage Data: Basic analytics including pages visited, time spent on platform, and device type for improving user experience.

How We Use Your Information

We use the collected information for the following purposes:

  • To process and manage team registrations, verify eligibility, and facilitate team assignments.
  • To communicate program updates, schedule sessions, and provide mentorship support.
  • To evaluate project submissions, conduct judging, announce winners, and distribute prizes.
  • To improve program content, curriculum, and student programming initiatives.
  • To create program highlights, showcase participant achievements, and share outcomes with stakeholders (with appropriate consent where required).
  • To maintain program records and generate reports for sponsors and partners.

Data Storage and Sharing

  • Data is stored securely using services we control or vetted third-party tools with appropriate security measures.
  • Access to personal data is restricted to authorized program organizers, mentors, and administrative staff on a need-to-know basis.
  • We do not sell your personal data to third parties.
  • We may share limited data with program partners and sponsors for logistics purposes (e.g., venue access, certificate generation, prize distribution) under strict confidentiality agreements.
  • Project repositories and public-facing submissions may be accessible as part of portfolio showcases, subject to your consent.

Data Retention

  • Registration Records: Retained for up to 24 months after program completion for reporting and program improvement purposes.
  • Project Submissions: Preserved as portfolio evidence and program documentation unless removal is specifically requested by participants.
  • Media Assets: Used for program storytelling and promotional materials; removal can be requested where feasible, though some materials may remain in archived records.
  • Evaluation Data: Retained for program analysis and improvement, anonymized where possible for long-term reporting.

Your Rights and Choices

You have the following rights regarding your personal information:

  • Request access to your personal data held by us.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your data, subject to program requirements and legal obligations.
  • Opt out of non-essential marketing and promotional communications.
  • Request that your photo or video not be used in public-facing program materials.

Security Measures
